Most commercial buildings in the Twin Cities have a heating system that nobody thinks about until it stops working at the first cold snap of winter. When that happens, you’re not just dealing with discomfort, but also potential liability, unhappy tenants, halted production, and an emergency service call that costs far more than a scheduled one would have.

This article covers what commercial heating maintenance involves and what tends to go wrong when it gets skipped.

Why Minnesota Raises the Stakes

With approximately 54 days each year below 0°F, commercial heating systems in the Twin Cities face challenges that many regions don’t experience. This sustained cold puts added strain on equipment, making preventative maintenance essential to avoid costly breakdowns and ensure reliable performance all winter long.


Boilers cycle more frequently, and furnaces run longer. Heat exchangers expand and contract with every temperature swing. Components that might last 15 years in a warmer climate may need attention after 10 years here.

Repair calls spike in November and December every year, not because systems suddenly fail, but because deferred maintenance compounds over time and cold weather exposes it. Having a maintenance plan in place gives you time to find and fix problems before they become emergencies.

What a Heating Maintenance Visit Covers

Most commercial heating maintenance visits address the following:

Burner inspection and cleaning. Dust and combustion byproducts build up on burner components over time, reducing efficiency and creating unsafe conditions. A technician will inspect the flame, clean burner ports, and check for signs of incomplete combustion.

Heat exchanger inspection. A cracked heat exchanger allows combustion gases, including carbon monoxide, to mix with circulated air. This is a safety hazard that may require your equipment to be shut down until it’s fixed. An inspection can identify this issue before it gets to that point. 

Flue and venting inspection. Blocked or corroded flue pipes are also a safety concern. All accessible venting should be inspected for corrosion, joint integrity, and obstructions.

Controls and safety systems testing. Limit switches, pressure relief valves, low-water cutoffs, and gas valves should all be tested to confirm they respond correctly.

Filter replacement. Clogged filters restrict airflow, increase system load, and shorten equipment life. Buildings with high dust or occupancy levels may need changes more frequently than the standard schedule.

Why Having a Maintenance Program in Place is Important

For most commercial equipment, quarterly maintenance visits are standard. A fall visit to verify heating system operation, a spring visit to ensure cooling readiness, and two additional mid-season inspections during winter and summer. 

The fall visit applies whether you’re running a hot water boiler, a forced-air furnace, rooftop units, or a split system.

For buildings with ductless mini split systems, air conditioning system components like the evaporator coil and air handler should be included in the maintenance scope. These are often overlooked but affect both heating and cooling performance, as well as long term energy savings.

Maintenance vs. Repair: The Cost Difference

Maintenance is preventive. Repair is reactive. The practical difference is cost and timing.

Preventive maintenance visits are planned, budgeted, and happen at a convenient time. Repairs are unplanned, often urgent, and tend to happen during peak demand when technician availability is tightest. An ac unit or furnace that fails on the hottest or coldest week of the year is rarely a surprise if you look back at the service history.

Beyond cost, reactive repairs carry operational risk. A building that loses heat in February may not be habitable, and in a manufacturing setting it can lead to expensive downtime and production loss. 

When are Maintenance Visits Scheduled?

The window for fall maintenance is roughly August through November, depending on the weather. 

For most buildings with heating and cooling systems, quarterly maintenance visits provide the best level of reliability and performance. In some cases, semi-annual visits may be sufficient depending on how the building is used, but even a limited maintenance program is far better than none at all. 

  • Spring (April-June): Post-heating inspection, prepare the air conditioning system for summer
  • Summer (July-September): Mid-season operational check and condenser coil cleaning.
  • Fall (October-December): Heating inspection, confirm proper operation for winter
  • Winter (January-March): Mid-season operational check to confirm everything still functioning as it should

For buildings with boilers, the fall visit should include a full startup test and combustion analysis, not just a visual walkthrough.

Signs Your System Needs Attention

While a proactive maintenance plan minimizes issues, it doesn’t eliminate them. Service needs may be necessary between scheduled visits. 

Uneven heated air distribution. If some areas of your building stay cold while others are comfortable, that often points to airflow problems, a struggling air handler, or zone control issues rather than a thermostat setting.

Rising energy bills. A commercial HVAC system that’s running smoothly uses fuel efficiently. If gas or electric costs are climbing without explanation, dirty burners, worn heat exchangers, or restricted airflow may be reducing how well the system operates long term.

Short cycling. A system that turns on and off in short intervals is working harder than it should. This pattern can stem from dirty filters, oversized equipment, or control problems, and it accelerates wear on components across the entire system.

Unusual smells or sounds. A faint burning smell at the start of heating season is normal as dust burns off. A persistent smell, a gas odor, or new mechanical sounds like banging or grinding are not. Those warrant a call before the next scheduled visit.

Indoor air quality changes. If occupants are noticing more dust, dryness, or respiratory irritation, it can indicate that the system is no longer filtering or circulating air as effectively as it should.
